Instructions for ALL presentations

On-site technical support will be provided to facilitate and coordinate the smooth delivery of all oral presentations. It is important that you adhere to the following guidelines.

1. Upload of presentations

Invited speakers and oral presenters have to submit their slides on a drive for presentation by approaching the Speakers' Ready Room at the Meeting venue at least 1 hour before the beginning of your session.

In the Speakers' Ready Room you will have computers and technical staff to help you upload the presentation and solve technical problems that may arise.

2. Presentation times:

  • Plenary Sessions have been allocated 50 minutes (including 5 minutes for discussion).
  • Podium presentations have been allocated 10 minutes + 4 minutes for discussion each.
  • Perspective talks have been allocated 20 minutes + 9 minutes for discussion.
  • Flash presentations of posters will be 2 minutes total time, including the time it takes you to reach the podium from your seat, so consider 1.5 minutes for your presentation. There will be no questions. The discussion will take place in front of the poster during the following coffee break. 3. Presentation Software

Note that the computers used for displaying presentations will be desktop PCs

The following software will be pre-installed on the computers for the presentations: For Windows PCs: MS Office 2010, Internet Explorer, Firefox and Acrobat Reader DC.

No overhead projector will be available.

Please do not use your own computer for presentations. The time used for connecting the computer could be deducted from the total presentation time.

4. Preparation of presentation slides

The presentation must be created either in PowerPoint format (.ppt or .pps extension),or PDF file, 4:3 format. Please, note that you need to bring it on a "disk on key" Memory stick (using the USB port in the computer), and load it on one of the Meeting computers in the Speakers' Ready Room. Not applicable to Flash Presentations.

The following precautions should be adhered to in order to ensure smooth running of electronic presentations: For PowerPoint files, only TrueType and OpenType fonts can be embedded:

To embed fonts in PowerPoint 2016:

  • Select File tab.
  • Save As...
  • Under Tools, choose Save Options.
  • Check the box for Embed fonts in the file

To embed fonts in PowerPoint 2010:

  • Select File tab.
  • Choose Options.
  • Under PowerPoint Options, choose Save.
  • Check the box for Embed fonts in the file

To embed fonts in PowerPoint XP / 2007:

  • Select the Office Button and select Power Point Options.
  • Under Save options, select the Embed fonts in the file checkbox and Embed only the characters used in the presentation.

To embed fonts in PowerPoint XP / 2003:

  • On the Tools menu, click Options, and then click the Save tab.
  • Under Save options, select the Embed True Type fonts check box.

To embed fonts in PowerPoint 2000:

  • On the File menu, click Save As.
  • Click the Tools menu in the toolbar at the top of the Save As dialog box.
  • On the menu that appears, select Embed TrueType Fonts.
  • Save the file as a PowerPoint Presentation.

For PDF files, be sure to include all fonts when preparing the PostScript and PDF files, too.

Courtesy request

As a courtesy to all meeting attendees and speakers, cellular phones, pagers and other electronic devices must be operated in silent / vibration mode during sessions. No cellular phone conversations are permitted during sessions.

Taking pictures will not be allowed during sessions.
